JOB OVERVIEW
You will provide the Corporate Divisional Head, and Corporate/Commercial Team Head with support as set out in the Main Duties below, and such other duties as may be required of you from time to time. The role would also see you provide additional adhoc support to the Corporate Divisional Support Manager.
MAIN DUTIES
- Acting as a gate keeper to the Head of the Corporate Division and Corporate/Commercial Team Head
- Dealing with all matters with the utmost discretion
- Identifying tasks that can be undertaken independently
- Liaison with clients concerning ongoing matters; meetings and appointments (including building a rapport with clients)
- Organising meetings/appointments, conferences and breakfast/lunch/dinner meetings
- Making necessary travel arrangements, ensuring best utilisation of time
- Co-ordinating arrangements for visitors, including room reservations and refreshments as necessary
- Using precedents efficiently, being able to retrieve relevant documents from the word processing system
- Keeping an effective filing system (including electronic filing), being able to retrieve requested files and documents with minimum delay
- Ensuring smooth running of diary management, taking a pro-active role in managing deadlines
- Travel between office locations as and when required to meet the needs of the business.
EXPERIENCE
- Solid experience within a legal environment
- Accustomed to dealing with clients, partners, fee earners and other service staff at all levels in person and on the telephone as appropriate to the level of the post
- Accustomed to delivering work to deadlines
- Experience of working in a professional services or client/customer focused environment
- Accustomed to working without close supervision
- Ability to demonstrate confidentiality and integrity
QUALIFICATIONS
- Solid competence and accuracy in producing audio typed work - 70 wpm typing
- Good secretarial training and qualifications equivalent to a minimum of RSA Stage II
- A general standard of education appropriate for the post, minimum of "GCSE" in Maths and English or equivalent
- Varied and advanced experience of WP and other IT systems

- Methodical, accurate and well organised systems of working
- Flexible, energetic, organised and accustomed to meeting tight deadlines
- Team player
- IT competence ability to generate own correspondence as appropriate to the post
- The highest level of client care and awareness
- Demonstrates integrity and has the ability to gain the trust of team members to build strong working relationships.
