Emergency & Acute Care Department Administrative Clerk
An exciting opportunity has arisen within our department for a highly motivated individual , with good levels of numeracy and literacy and excellent communication skills .The post holder has responsibility for the provision of a professional, comprehensive and efficient reception and booking service for patients and members of the department and managing the patient pathway in line with the Emergency Department Operational Policy
Main duties of the job
The main duties include -:
registering patients on arrival to the emergency department , scanning , emailing , filing, answering enquiries. Liasing with patients , relatives , carers outside agencies and colleagues face to face and via telephone, Maintaining confidentiality at all times.

Job responsibilities
- Post-holder must be able to work on their own initiative when carrying out their usual duties. Supervision is available as required.
- To ensure that there is good communication between the administration team and the clinical team so that the Emergency Department area runs smoothly.
- Liaising with patients, relatives, carers, outside agencies and colleagues within a multidisciplinary team via telephone and face to face communication.
- To ensure that all patients are received and directed to the appropriate waiting area or department, in a courteous and professional manner as the post holder is often the first point of contact for the majority of patients.
- To ensure that patients demographic details are always kept up to date in the medical records and on the Patient Administration System (Careflow) system, by checking personal details such as name, address, telephone number, ethnic origin, and GP.
- To use the Patient Administration System (Careflow), to book patients onto the Emergency Department Whiteboard on arrival and to make follow up outpatients as and when required.
- Working towards meeting department competency framework, undertaking internal and external training to ensure duties are performed to the highest standard.
- To ensure that any notes in the filing folder are scanned in and filed away.
- Ensure GP communications go out within the agreed timeframes.
- Requesting and locating hospital records as required.
- Ensure computer, printer equipment and stationery is available and working effectively working, reporting any faults or problems the Reception Team Leader or the IT Helpdesk.
- Be flexible in your approach to work, such as covering other job roles at an appropriate grade and to include varying working hours to ensure the service maintains a minimum level of cover during its core hours.
- To show new staff how to carry out the basic reception duties and the processes specifically required for the named reception area.
- Ensuring ongoing familiarisation of your role and responsibilities during a Major Incident.
- To provide sickness, annual leave and bank holiday cover within the Department as required.
- Maintain patient confidentiality at all times.
- Carry out any other duties, within the grade, as requested by the Supervisor /CGSM
Person Specification
Qualifications
- GCSE Mathematics & English grades C and above
Experience of working within an NHS or Acute care setting
- Significant experience relating to the role
- Demonstrated in interview
experience in using IT
- 1 years experience
- Experience of using IT systems
- Microsoft Excel , Word
