Diabetes Pump Administrator – Endocrinology and Diabetes Department at York Hospital, part of York and Scarborough Teaching Hospitals NHS Foundation Trust.
Responsibilities
- Provide efficient and confidential administrative support to the Diabetes Specialist Nurse team, supporting delivery of diabetes pump and specialist technology services across both sites.
- Process insulin pump and Continuous Glucose Monitoring (CGM) orders, manage consumables, liaise with suppliers, and ensure timely provision of equipment and warranty management.
- Maintain accurate patient spreadsheets and databases to support service monitoring, reporting, reimbursement, and compliance with data protection standards.
- Receipt and process invoices for pumps, consumables, and CGM devices in line with Trust procedures.
- Input, maintain, and validate data for the National Diabetes Audit, ensuring timely submission.
- Coordinate patient education and CGM training sessions, virtual and face‑to‑face, ensuring planning, resource availability, utilisation, and accurate records.
- Liaise with pump company representatives, Diabetes Specialist Nurses and stakeholders to support training and equipment availability.
- Act as a key point of contact for patients, staff, and external organisations, managing enquiries professionally, sensitively and confidentially, escalating concerns appropriately.
- Work collaboratively with multidisciplinary teams, prioritise workload effectively, support administrative functions and deputise for the Band 5 Service Manager when required to maintain service continuity.
Qualifications
- Strong administrative and organisational skills, accurate work, and high data quality and confidentiality.
- Experience within an NHS setting or working with clinical systems is advantageous.
- Ability to work effectively under pressure, prioritise within a busy clinical environment, and demonstrate a flexible, patient‑centred approach.
- Excellent communication skills and adaptability to evolving service needs.
