The Role

The Personal Assistant will work directly with the Founder to support the effective running of the business. This is not a traditional “diary management only” PA role. The successful candidate will become a key operational support to the Director, helping manage communications, client coordination, administration, communications internally and externally, alongside leading key projects.


The role suits someone proactive, confident, tech-savvy and commercially minded, who thrives in a varied environment and can use initiative without constant supervision. The role requires discretion, professionalism and excellent attention to detail.

 

Key Responsibilities


●     Managing the Director’s inbox, including prioritising, drafting and responding to emails appropriately

●     Identifying urgent matters, flagging key actions and filtering non-essential communications

●     Managing the Director’s calendar, appointments and meeting schedules

●     Coordinating travel arrangements, itineraries and journey planning

●     Providing daily reminders and preparation support for meetings, events and travel

●     Acting as a gatekeeper for incoming communications where appropriate

●     Manage and prioritise the Founder’s workload, ensuring focus on high-value activities

●     Organise schedules, meetings, and key business priorities

●     Prepare briefing materials, summaries, and follow-ups from meetings

●     Act as a gatekeeper where appropriate, managing incoming requests and information


(The potential for) Business Growth & Marketing Support


●     Supporting implementation of the Director’s growth ideas and commercial initiatives

●     Coordinating podcast bookings, networking opportunities and brand visibility projects

●     Liaising with website designers and external suppliers to ensure updates are completed

●     Researching awards, managing submissions and monitoring future opportunities

●     Supporting social media engagement across LinkedIn, Instagram and Facebook

●     Assisting with maintaining the Director’s online presence and engagement activity

 

Recruitment & Talent Support


●     Updating recruitment trackers and maintaining accurate candidate records where required

●     Supporting onboarding administration for new starters, liaising heavily with the external HR Consultant

●     Assisting with recruitment campaigns and talent pipeline activity where required

●     Conducting reference requests and right-to-work administration where required

●     Uploading confidential HR documents to the HRIS (PeopleHR)

 

Operational & Administrative Support


●     Updating confidential client files and folders

●     Liaising with recruitment consultants and internal stakeholders regarding client matters

●     Assisting with document preparation and administrative tasks

●     Supporting wider operational and office functions where required

●     Support the implementation and improvement of business processes

●     Assist with operational and leadership initiatives

●     Coordinate activity across different areas of the business

●     Help maintain structure and organisation within a fast-paced environment

●     Draft professional emails, reports, and internal communications

●     Produce clear written summaries of meetings and key actions

●     Ensure communication is accurate, concise, and aligned with business standards

●     Support preparation of presentations and documents for internal and external use

●     Communicate effectively with internal team members and external contacts

●     Ensure information is shared clearly and in a timely manner

●     Be comfortable handling direct conversations where required

●     Maintain professionalism and discretion at all times

 

Skills & Experience Required


●     Previous experience in a PA, Executive Assistant, Office Manager or senior administrative role

●     Strong organisational and multitasking abilities

●     Excellent written and verbal communication skills

●     Ability to handle confidential information professionally

●     Confident using online systems/software

●     Comfortable working independently and using initiative

●     Social media awareness advantageous but not essential

●     Commercial mindset with an interest in business growth

●     Recruitment experience advantageous but not essential



Salary - £32,000 (FTE), paid monthly on the last working day of the month

●     Holidays: 35 days + bank holidays

●     Post-probation quarterly bonus (to be defined)
